How to schedule Instagram posts, carousels and Reels
Schedule Instagram posts, carousels and Reels with a first comment, see what still happens in the app, and plan a week of posts in one hour.
When Instagram is where customers find you, a quiet week shows. Posting live from your phone between appointments means posting when you have a minute, not when people are scrolling. Scheduling moves the work into one sitting.
The short answer
You can schedule feed posts, carousels and Reels to Instagram through Publedia, and each one can carry a first comment. Stories, music from Instagram's library, collaborators and image alt text do not go through Publedia today, so those still happen in the Instagram app. To connect at all, the account has to be a business or creator account.

Every Instagram post needs at least one image or video. Instagram has no text-only posts, and the composer tells you before you schedule if the Instagram version has nothing attached.
Before you connect: switch to a professional account
Instagram only lets outside apps publish to professional accounts, which Instagram offers in two types, business and creator. A personal account cannot be connected. Switching is free and is done in the Instagram app's settings, where you choose a business or a creator account. Either type works with Publedia.
Connect Instagram
- Open Channels and select Connect channel.
- Choose Instagram. The tile reads "Business or creator account".
- Sign in on Instagram's screen and approve access.
- You return to Publedia and the account shows as Connected.
Instagram connects through the same publishing partner Publedia uses for Facebook, TikTok and Threads. The free Basic plan connects 2 accounts, which is enough for an Instagram account and a Facebook Page.
Schedule a post
A single image
- Select Create post, then Choose channels, and pick your Instagram channel.
- Add a photo from your computer or from Files.
- Write the caption.
- Check the preview, select Pick a time, choose the day and time, and select Schedule.
A carousel
Add two or more images, up to 10, and the post goes out as a carousel. The order you add them in is the order people swipe through, and the first image is the one shown in the feed. Lead with the strongest picture. To change the order, remove an image and add it again.
A Reel
Reels are watched full screen on a phone, so export the video vertical, at 9:16, as an MP4 file up to 15 minutes long.
- Select Create post, choose your Instagram channel and attach the video.
- Select the Instagram avatar above the editor and choose Write a version for this channel.
- Under the caption, the format control shows Video. Open it and choose Reel or Short.
- Write the caption, then select Pick a time and Schedule.
The format control only shows on a channel's own version, and only when the media could go out in more than one format, as a video can on Instagram.
Add a first comment
A first comment is published under your post right after it goes live. It keeps the caption short while still putting extra text where people see it: your hashtags, a note such as "Booking link in our profile", or details that would crowd the caption, like opening hours or prices.
To add one, open the Instagram version (select the avatar, then Write a version for this channel) and select Add first comment under the caption. The same button appears on Facebook versions. The comment has its own field, so it does not use up any of the caption's 2,200 characters.
Captions and hashtags
Instagram shows the first line or two of a caption and hides the rest behind "more". Put the point of the post in that first line: "New autumn menu starts Monday" gets read, "We have been busy behind the scenes lately" does not.
Choose a few specific hashtags over a long block of general ones. Your town and your trade together (#leedsflorist) say more about you than #flowers.
A web address typed into a caption does not become a link people can tap, for most accounts. Keep your website on your profile, where Instagram makes it clickable, and write "link in our profile" in the caption or the first comment.
What to do in the Instagram app instead
A few things only work in Instagram's own app today:
- Stories. Post them from the app.
- Music from Instagram's library. A scheduled Reel carries the audio that is in the file. Mix music you have the rights to into the video before you upload it, or post from the app when a trending sound is the point.
- Tagging people, products or a location. If a post needs tags, post it from the app.
- Collaborators. Invite a collaborator from the app when you post.
When to post on Instagram
Two large 2026 studies point to different hours:
- Sprout Social found the strongest window from Monday to Thursday in the afternoon, with Wednesday from 12 to 9 p.m. at the top.
- Buffer found weekdays at 9 a.m. and 6 p.m. worked best, with Thursday at 9 a.m. as the top slot.
Both are in your audience's local time. Test two slots for a month, one at 9 a.m. and one mid-afternoon, and keep the one that gets more likes, comments and saves. The best time to post guide explains both studies and how to run the test.
Schedule the week in one hour
Pick a regular hour, such as Sunday evening, and work in this order:
- Pick the posts (10 minutes). Two or three a week is plenty to start: something new, something from behind the counter, and a customer story or an offer. A content calendar keeps the ideas coming.
- Put the photos and videos in Files (10 minutes), so every post can use them without uploading again.
- Write the captions (20 minutes), first lines first.
- Add Facebook (10 minutes). Add your Facebook Page to the same post and choose Write a version for this channel on it where the wording should differ. The Facebook scheduling guide covers what Pages accept.
- Schedule (10 minutes). Give each post a time from Pick a time, then check the week on the Calendar.
Plan the number of posts against your plan. Basic includes 10 scheduled posts a month, and a post counts once for each channel it goes to. That covers two Instagram posts a week, or one a week on both Instagram and Facebook. Three a week on both channels needs Pro, with 150 a month. The pricing page lists every plan's limits.
After it publishes
Comments on your Instagram posts arrive in Inbox (beta), where you can read them and reply without opening the app. Analytics (beta) reports four numbers for Instagram posts: impressions, likes, comments and saves. Saves are the one to watch for posts meant to be useful, such as price lists, tips and how-tos.
Troubleshooting
- Instagram will not connect. Usually the account is a personal one. Switch it to a business or creator account in the Instagram app, then connect again.
- The composer refuses a file. Through Publedia, Instagram takes JPEG or PNG images and MP4 video, up to 10 items, with video up to 15 minutes. Convert other files first, such as a HEIC photo or a MOV video.
- The channel shows Needs reconnection. Open Channels and select Reconnect. If that fails, check that the account is still a business or creator account.
- A post failed. Open it from Posts. The Instagram row says why and offers the next step.
