Workspaces, teammates and roles
What a workspace holds, when to create another one, how to invite teammates, and what admins, editors and viewers can each do.
Everything in Publedia lives in a workspace: its connected channels, posts and calendar, files, automations, analytics, API keys and members. A workspace also has its own plan, so its limits (connected accounts, seats, scheduled posts) apply to it alone.
One workspace or several
- One workspace suits a creator, a business, or an in-house team publishing for one brand, even across many channels. Use channel groups to organise accounts inside it.
- Several workspaces suit anyone publishing for separate clients or businesses. Each client's channels, posts, files and people stay in their own workspace, so a post cannot go to the wrong client's account, and removing someone from one client does not touch the others.
Create and switch workspaces
Your workspaces are listed in the menu at the bottom of the sidebar, under your current workspace's name. Open it to switch to another workspace or to create a new one. A new workspace starts empty: connect its channels and invite its members.
Invite a teammate
Invite people rather than sharing a login. Everyone signs in as themselves, and access can be changed or removed per person.
- Open Settings and choose Members under the workspace.
- Select Invite member.
- Enter their email address and choose a role.
- They receive an email with a link to join. Until they accept, the invitation is listed under Invitations as waiting, and you can withdraw it.
Invitations expire after 14 days; send a new one if it has. Only admins can invite people, and the number of members is limited by the plan's seats: 3 on Ultra, one on Basic and Pro, and more on the Business and Agency plans.
Roles

Give each person the lowest role that lets them do their job. A client who wants to see the calendar and results can be a viewer.
Change someone's role or remove them
On Settings, Members, select Manage beside the person to change their role or remove them from the workspace. Removing someone ends their access to this workspace only. A workspace always needs at least one admin, so the last admin has to appoint another before leaving. The person who created the workspace cannot leave it or be removed from it.
Plans are per workspace
Each workspace has its own plan and its own usage. Admins can see the plan, the limits and how much of each the workspace is using in Settings, Plan and usage. Changing the plan of one workspace does not change any other.
